Planning your wedding comes with its fair share of challenges, and managing RSVP cards/responses and last-minute changes can feel overwhelming. Accurately tracking RSVPs is key, since it directly impacts everything from catering and seating arrangements. With careful planning, you’ll avoid being under or over-prepared, and you’ll have a clear view of the logistics for your big day.
We love incorporating online platforms like Aisle Planner (our client planning portal) and Zola to manage RSVPs. Not only does this streamline communication with guests, but it’s also an eco-friendly option that fits beautifully into a modern wedding. Plus, it allows you to track responses in real-time, avoiding the stress of chasing down RSVPs through snail mail.
For couples who want the timeless touch of traditional invitations, we recommend numbering the back of each RSVP card to match your guest list. This trick is simple but genius when it comes to identifying cards with unclear handwriting or missing names—yes, it happens more often than you’d think!
When you hire us for Enhanced Full-Service Wedding Planning, we handle everything from sending your invitations to tracking each RSVP meticulously. Whether it’s through our portal, Zola, or paper invites, we ensure that no guest is missed, and everything is updated promptly in your planning portal.
You’ll want to set your RSVP deadline well before any critical planning dates. Catering and rental numbers are usually due about two weeks before your wedding, but if you’re planning a seating chart, you’ll need your final guest count at least a month or more before the big day. We recommend setting your RSVP deadline about two weeks ahead of that, which gives us time to follow up with any stragglers.
This is especially important when, unfortunately, things don’t always go as planned. For instance, we had a couple recently caught in a massive Kansas City postal delay, where invitations took over a month longer than expected to reach guests. To avoid complete chaos, we worked closely with the couple’s stationer, who designed a stunning digital invitation suite. We quickly set up a landing page on our website so the couple could text the link to guests who hadn’t yet responded. Flexibility and creative problem-solving are what we’re all about!
